CMMS Work Order Management and Planning Workflows

29 June – 03 July 2026, Abu Dhabi16 – 20 Nov. 2026, Abu Dhabi

COURSE OVERVIEW:

The work order is the fundamental unit of communication and data capture within any maintenance organization. This course provides a comprehensive roadmap for designing and managing the entire work order lifecycle, from the initial request to the final technical closeout. It focuses on creating disciplined workflows that ensure maintenance tasks are identified, planned, scheduled, and executed with maximum efficiency, ensuring that the CMMS serves as a true engine for productivity.

The scope of this training encompasses the technical configuration of work order types, statuses, and priority codes within the CMMS. Participants will learn how to build a "Work Management System" that eliminates bottlenecks and ensures that resources are always directed toward the most critical tasks. The course emphasizes the role of the Planner and Scheduler as the "Gatekeepers" of the work order process, ensuring that every job is fully prepared before it is released to the field.

Coverage includes the integration of safety permits, material kitting, and labor assignments into the digital workflow. Attendees will learn how to capture high quality technical history and "as found/as left" data, which is essential for future reliability analysis. By the end of this course, participants will be able to implement a streamlined work order process that reduces administrative burden, improves technician accountability, and provides a clear audit trail for all maintenance activities.

COURSE OBJECTIVES:

After completion of this course, the participants will be able to:

  • Map the end-to-end work order lifecycle for different types of maintenance.
  • Configure standardized work order statuses to track progress accurately.
  • Design a rigorous "Work Request" screening and approval process.
  • Implement a priority system that balances urgency and importance.
  • Link labor, materials, and specialized tools to digital work orders.
  • Utilize the CMMS for "Resource Leveling" and craft coordination.
  • Establish clear workflows for "Emergency" versus "Planned" work.
  • Integrate Job Safety Analysis (JSA) and permits into the work order.
  • Capture accurate "Failure Codes" and technical comments during closeout.
  • Monitor "Work Order Aging" to prevent backlog stagnation.
  • Audit completed work orders for data quality and technical accuracy.
  • Streamline the "Handover" process between maintenance and operations.

TARGET AUDIENCE:

This course is designed for Maintenance Planners, Schedulers, CMMS Administrators, Maintenance Supervisors, Operations Coordinators, and Reliability Technicians.

TRAINING COURSE METHODOLOGY:

A highly interactive combination of lectures, discussion sessions, and case studies will be employed to maximize the transfer of information, knowledge, and experience. The course will be intensive, practical, and highly interactive. The sessions will start by raising the most relevant questions and motivating everybody to find the right answers. The attendants will also be encouraged to raise more of their questions and to share in developing the right answers using their analysis and experience. There will also be some indoor experiential activities to enhance the learning experience. Course material will be provided in PowerPoint, with necessary animations, learning videos, and general discussions.

The course participants shall be evaluated before, during, and at the end of the course.

COURSE CERTIFICATE:

National Consultant Centre for Training LLC (NCC) will issue an Attendance Certificate to all participants completing a minimum of 80% of the total attendance time requirement.
